TERMS & CONDITIONS FESTIVE EVENTS  

All event dates are subject to availability.  

 

To prevent any misunderstanding in respect of your booking, the following Terms and Conditions apply to all bookings relating to Christmas & New Year party night and festive lunch events. We’ve tried to make our Terms and Conditions as straightforward as possible however, if you have any questions, please speak to us before you agree to them. 

 

Payment  

A deposit of £20* per person is required to confirm your booking. Your booking is not guaranteed until your deposit has been received. This deposit is non-refundable and non-transferable. Lost deposits due to changes in numbers, may not be redeemed against the final balance. 

Payment of a deposit is agreement to our Terms and Conditions.  

Full payment of the outstanding balance is required 6 weeks prior to the event date. 

Bookings made within 6 weeks of the event date will require full prepayment within 5 days to guarantee the space. 

Bookings over 25 guests may be subject to a separate contract with different terms and payment conditions. 

 *The deposit is £20 unless otherwise stated. 

Cancellation  

Cancellations of a party or individual guests, including cancellation due to adverse weather conditions, will be subject to full charges as all prepaid monies are not refundable or transferable. 

 

Menus  

Menu choices and dietary requirements must be provided at least 6 weeks in advance of the function date.  Changes to menu choices within 6 weeks of the event may incur additional charges.  An additional charge may occur for dietary requirements provided by specialist suppliers.  Should you have any concerns regarding food allergens, please ask a member of staff who will provide you with detailed ingredients for each dish. The hotel reserves the right to make changes to the menus or substitute items which may become unavailable. 

 

Accommodation 

If you require accommodation, please let us know at the time of booking.  Full information on how to book and the best rates for your stay will be provided.  You can check in from 3pm on the day of arrival and you will need to vacate your room by 11am, unless otherwise stated in an individual hotel package. You can arrange a late check out for a small fee when you are at the hotel, just contact reception. 

We will do our best to accommodate special requests.  Upgrades to designated Family rooms, Premium rooms, Superior rooms, and Suites are available in most hotels for a supplement. 

When you arrive at the hotel, you will be asked to provide a credit card to guarantee payment for any extras you have during your stay, such as drinks at the bar. 

 

General terms  

All rates quoted are subject to availability and are correct at the time of publishing. 

All prices include VAT at the current rate of 20%.  This price will be subject to change with any increase in the rate of VAT. 

The venue reserves the right to cancel or amend an event for any reason at its discretion, in this instance all payments made will be refunded.  This may include amalgamating events to ensure appropriate numbers or moving an event to a smaller / larger room should numbers dictate. 

The hotel may cancel if: a. The hotel or any part of the hotel is closed or becomes unavailable due to events beyond our control b. The booking, the persons associated with the booking and/ or the purpose of the event might damage the reputation of the hotel or the company. 

In the unlikely event that the hotel has to alter or substitute elements of the package, the hotel will not have any liability.  

We reserve the right to postpone and change the dates advertised. 

All room and table plans are at the discretion of the hotel. The hotel will endeavour to accommodate any special seating requests however these cannot be guaranteed as overall party sizes will determine final table arrangements.  

To ensure an enjoyable atmosphere for all, the hotel reserves the right to transfer bookings to alternative dates if minimum numbers are not achieved for any event. A full refund will be provided if alternative dates are unsuitable. The hotel’s liability for cancellations is limited to a full refund of payments received.  

The venue reserves the right to change the advertised artists without prior notice in the unfortunate circumstances of force majeure, ill health, or forces beyond our control. 

The venue does not allow alcohol, aerosols, or novelties to be brought onto the premises and reserves the right to confiscate alcohol, aerosols, or novelties. 

Guests under 18 years old may be restricted at some events, please check at the time of booking. 

Management reserves the right to refuse entry to the hotel and to charge the company, organiser or individual for any damages caused by unreasonable behaviour.
